4HPlus! upgrade 08-056

Fixed the bug where the Current Year field does not update
if the registration data was changed and then projects/club
data was changed.

SQL Mail Merge and the SQL Label file output now give the user
an opportunity to specify where the file is saved and what the
file will be named.

The ES-237 Data Verification routine will now accept the new
Race codes (Undetermined and More Than....) when determining
if a Member/Leader has valid Race data.

The [SQL] [Request] [Labels]...... [Output] to [File] and the
Newsletter Utility output to file now includes a header row

Leader's Web Password and ID now shows up in the SQL

Achievements have been added to the club reports. This is found
at [Goto] [Members/Leaders] [Units].... select a club and then
click on [Print Unit/Club Report].

A new report has been added that will count and list - BY CLUB
- the number of members per address. This report will assist
in task like putting together "Family" packets and
can be found by clicking on [Goto] [Members] [Units] and clicking
on [Club Member / Address Counts].

When entering new members, any quotes or double quotes entered
into the first or last name fields will be stripped (these cause
huge problems with various export functions)

A report/menu item has been added (in the Member and Leaders
sections) that will list the next 50 available Member and Leader
ID's. Running this report prior to entering a batch of new members
will indicate what ID's those new Members and Leaders will be
assigned.

Added a field for County when generating SQL Mail Merge, Club
Data Export and Group Data Exports at the State level.

Added "County" as a preliminary SQL selection option
-
Fixed a bug that following the entry of a New Member, would
send the user back to the "New Member" screen even
if the List Members option was chosen.

Restored the automatic parenthesis in the SQL selection process
for fields that can be multi-selected.

Added a "Search Completed" label to the progress
bar when processing Member or Leader registrations.

Added a feature to Factory Utility option #33 that will allow
the user to command 4HPlus! to reprocess and upgrade.

Fixed a bug that would trap a user in the Archive>Backup
screen if the e-mail operation failed.

The Archive>Send>Send Data utility will now recognize
the "since date" method of generating the file.

Fixed a bug on the Support Data>Clubs screen that caused
the club name to be inadvertently changed.
4HPlus! upgrade 07-353
Released to Minnesota users 12/21/2007

This version upgrade can replace the version 07-317 upgrade
which was only available for a short time. (07-136 can be skipped).
-
A number of bug fixes are included (e-mail field space checking
locked up 4HPlus!, the new race options will be recognized,
the e-mail newsletter utility will work again).
-
The Factory Utility option 33 which checks data file consistency
will now also check for consistency with the factory standard
for each table.
-
The ES-237 Excel spreadsheet now contains labels and a few
new utilities for managing this process (only available at the
State level).
-
Fixed a bug in the Group Data section that reset the Units
to 1 after selecting Projects (if a number other than 1 had
originally been entered.
-
A progress bar was added to the Member and Leader registration
screens to indicate the number of total records being examined.
-
An option was added that will allow you to get member project
participation counts (male and female) by selecting the desired
projects by choosing the desired USDA curriculum code.
4HPlus! upgrade 07-317

A new utility will check all e-mail addresses for validity
- located on the [Main] screen, in the menu bar at the top.

Label bar code option added.

The ability has been added to handle data from youth who are
interested in becoming 4-H members and have submitted their
enrollment info via 4h4me.com

An SQL bug was fixed that did not entirely clear out the previous
request parameters if an E-mail SQL had been requested.
-
Any extra spaces between multiple e-mail addresses will be
stripped out upon data entry (Note: if a space exists between
e-mail addresses, only the first e-mail address gets stored
after sending a message).
-
2 new Race codes (More Than One and Undetermined) have been
added in accordance with a change in the ES-237 report.
-
The beginning work has been done to add an event registration
component to 4HPlus! - it is not yet functional.
-
The [Over Age Members] utility has been expanded to allow great
flexibility in selecting and reporting.
-
County level Leader Screening has been made possible (but will
not be used in MN).
-
The new Federal ES-237 Excel report can be run at the State
level.
-
There is a new multi-member assignment system with which you
can assign either clubs, projects, or achievements to as many
member as you desire at once.
-
The create new year full data archive backup system has been
changed so that the system will automatically repeat the file
copy process in case errors are found.
4HPlus! upgrade 07-136
Released to Minnesota users 5/16/2007

The secure access method for 4h4me.com was implemented (mostly
affecting menu items under [Goto] [Archive] [Web Data].
-
After sending an SQL Email, a button will appear that will
allow the user to create the mailing labels for those Members
or Leaders who met the selection criteria, but do not have an
e-mail address. (Note that Member or Leaders who DO have an
e-mail address, but were not selected to receive an e-mail will
not get a label).
-
An option has been added to the SQL label section that will
include labels (or label data) for parents of Members who met
the selection criteria, but live at a different mailing address
than the member.
-
When making an SQL Report Request, an option has been added
to allow sorting by Date of Birth.
-
Also when making an SQL Report Request, an option has been
added to sort in either Ascending or Descending order.
-
A new report has been added that lists all the registration
data for a member or leader – one page per member/leader.
This is found under [Goto] [Members/Leaders] [Reports/Utilities]
[Member/Leader Enrollment Registration Report].
-
The Setup screen now provides options to choose the installation
year and which data sets map to which years.
-
A couple of new backup "destinations" have been added,
including "Flash/Jump Drive" option. The drive letter
associated with these destinations is configurable by the user
under [Utilities] [Parameters] - for example, to configure a
drive letter for a Flash drive, the Parameter is called [Flash/Jump
Drive drive letter....].
4HPlus! upgrade 07-012
Released to Minnesota users 1/16/2007

The Usage period is extended for 2007

The new club data related to Chartering is made functional,
including a club data export and the ability to transfer the
club data to the State level.

Newly entered Members get their "Allow Email Newsletter"
(AEN) flag set to Zero, instead of Null
-
A Factory utility is added to set all Null AEN flags to Zero.
-
Errors on the Archive>Backup screen should no longer lock
up the entire program.
-
The blank WXDD and WXDU tables are no longer included in the
upgrade - meaning that existing Web related changes will not
be wiped out by an upgrade.
4HPlus! upgrade 06-346
Released to Minnesota users 12/15/2006
- The new SSL based (authenticated sending) email system in 4HPlus!
was fullly implemented, which will allow e-mail to be sent from
all Regional Centers and nearly all County Offices. Other e-mail
related changes include:
- Automatic removal of duplicate e-mail addresses within a
batch of e-mails being sent.
- The ability to enter more than one e-mail address per member
or leader - simply enter the multiple addresses, seperated
by a comma - limited only by the length of the e-mail field
(amount of text that can be stored).
- Email setup instructions/settings for MN users are as follows:
- Click on [4HPlus Email Setup] (this menu item is found
on the [Main] screen)
- In the upper left corner, under [Select Authentication]
click on [Username/Password]
- Confirm the message box that pops up - click [Yes]
- Enter [587] in the [Port] field
- Enter [smtp.umn.edu] in the [Mail Server] field
- Enter [your x.500] in the [Username] field
- Enter [your x.500 password] in the [Password] field
- Enter nothing in the [HELO text] field (it will fill
in automatically when you send an e-mail)
- Enter [your e-mail address] in the [Sender Email Address]
field
- Enter nothing in the [Sender...] field (it does not
yet work)
- Enter [thomp037@umn.edu] in the [Up Hill Data Email
Address] field
- The rest of the settings on that screen should not need
changing to work with the U of MN mail servers.
- IMPORTANT - click on the [Save Entries / Changes Button]
(upper right corner) before attempting to send e-mail
AND any time you make a change on the upper part of this
screen - including password changes.
- To check the e-mail component, enter your own e-mail
address (plus a Subject and Message) and click on [Send].
- A new report (four different access methods) to list members
and their projects in either ascending or descending order by
number of projects the members are taking.
- Changes and fixes were made in the Achievements data files area.
- A new "complete data file set" backup utility was
added - found on the [Archive] [Backup] screen, this utiltity
will make a complete copy of the data files (very similar to the
copy created during the "New Year" process).
- Enhancements to the data upload capabilities for 4h4me.com (i.e.
changes are now tracked and reported when data is updated on 4h4me.com).
- Three new data file correction routines have been added for
solving problems with disk failures.
- The Data File Viewer will display (and allow access to) all
three year's data tables.
- Backup files now contain all of the year and data set information.
- The Data Intitialization utility will now correctly remove data
in the Local and State Fields.
- Fixed a problem that kept the Leaders' "E-mail Newsletter"
preference data from working correctly in the Leader SQL tool.
- The club reporting and tracking screen has been started, but
unfortunately it will not yet store or retrieve data.
4HPlus! upgrade 06-114
Released to Minnesota users April 26, 2006
This upgrade makes the following changes:
-
Extends the usage period for the new year
-
Fixes a problem with displaying achievements
-
Fixes the Allow Newsletters - checked/unchecked status in the
data table - which also fixes the problem of SQL searching on
the "allow newsletters" field for Leaders.
-
Adds two new Factory Utilities were added that assist in diagnosing
table structure problems.
-
4HPlus! will now properly handle Active Members/Leaders being
made Inactive, such that they'll be properly deleted from the
4h4me.com database
-
When an Inactive Member is made Active, a web password will
be issued (if none already exists). However, the "Set Active
Status" utility still doesn't issue a web password
-
When creating a new member, 4HPlus! will go back and "recycle"
available ID numbers
-
The "upgrade" routine for Table and Record changes will now
offer, if necessary, a third option (in situations where the
requested change cannot be completed) that will allow the user
to skip the upgrade and continue on into 4HPlus!
4HPlus! upgrade 05-290
Released to Minnesota users October, 26, 2005
This upgrade makes the following changes:

Creates a new table for Achievements and changes how Achievement
codes are assigned. Includes tools for converting existing Achievement
enrollment to the new system.

Correctly assigns web passwords when creating a new member
or leader

Adds a tool to re-set all user's web passwords
-
Fixed some bugs in the print web action area when processing
web download files.

Fixed a "data string too long" error message received when
creating a backup.

Code has been added to process the fact that a 4H4ME county
staff access person can now create or delete a club on the web.

Adds the ability to send a backup file to more than one person

Adds a parameter to auto-size the screen resolution
4HPlus! upgrade 05-227
Released to Minnesota users September, 5, 2005
This upgrade makes the following changes:
-
Expands the number of "local fields" (to 10) and adds 10 new
"state fields". (The state fields are not yet being used in
MN)
-
Allows the State to send out Parameter changes, including the
names of the State Fields (above item)
-
Adds the capability to indicate if a Member or Leader is willing
to accept an e-mail instead of a hard copy newsletter. This
is done via a check box at the top of each Member's and Leader's
Registration screens. This only impacts newsletter e-mails and
newsletter labels, as produced on the [Utilities] [Newsletter
Labels] screen
- Added an over-age member's report [Re-enrollment] screen
4HPlus! upgrade 04-302J
Released to Minnesota users February 25, 2005
This upgrade makes the following changes:
-
The usage period is extended until February, 2006
- The ability to use wildcards ( * ) was added to the DOB (date
of birth) field in the Members SQL system.
- DOB = 09/**/** would give you every member
born in September (day and year ignored)
- DOB = **/10/** would give you every member
born on the 10th of any month of any year. (In can not imagine
why anyone would want this, but if I left it out, someone
would :-)
- DOB = **/**/85 would give you every member
born in 1985 (month and day ignored)
- You must always use four (4) wildcards in
the DOB if you use them at all.
- If you want all members born in a month
in a certain year, do not use wildcards. Use the greater than
and less than operators. For example, all members born in
September of 1985 could be found by: DOB >= 09/01/85 AND
DOB <= 09/31/85
- Note: If you use wild cards
in the Members DOB field during SQL requests, you can ONLY
use the ( = ) Equal operator.
- A new feature has been added to the SQL section that allows
users to change a target value.
- The first step is to create the desired SQL
request in the normal fashion (including generating the report)
- Then, the SQL request must be saved - click
on [Queue] [Add]
- Type in a name for the SQL request, hit the
[Tab] key on your keyboard and click on [Add Now], then [Return]
- Click on [Queue] [Display] and select the desired
SQL request from the list, then click on [Process]
- Click on the selection "target" you
wish to change, and enter the new value in the [New Target Value]
box
- Click on [Replace], then [Process Now] and
proceed with the new request
- The Web Transfer files are now in the encrypted (ebd) format
- When you start the 'Create New Year' process now, there is one
more step that creates a full backup of the entire state folder
and place it in a new folder, named for the oldest dataset in
the folder.
- Expands the size of 120 fields in the groups data file from
5 characters to 6 characters to accomodate very large group numbers
- Address a handful of ES-237 report issues including fixing the
potential for using Achievements for Groups and a handful of state
level processing issues
- A new menu item has been added: [Members] [Reports/Utilities]
[Re-Calculate All Member Ages]. This will have the system re-calculate
all member ages at one time (without forcing a re-calculate by
changing the actual age Vs. 4H age parameter). This is more relevant
for states that use "4-H Age" (MN uses Actual Age).
- A bug was fixed for the ES237 bar gauge section 15.1/15.2.
This was only a gauge display issue. The ES237 was correctly processing
the data, but displaying the wrong count values in the gauge only,
the report was fine.
