FairPlus! End of Year Reporting
My Programs and County Fairboards

County Fairboard Reports

County Fairboards are required to submit various reports to the MN Department of Agriculture, which has affirmed that the following FairPlus! reports will meet their requirements:

1) - A Detailed Check Listing

Click on [Goto] [Financial] [Reports] [Check Reports]
Select [Check Listing by Exhibitor] and [Fair (Premium)]
Click on [Process/Print]

2) - Department Payout Reports (one for Livestock and one for Non-Livestock)

Click on [Goto] [Financial] [Reports] [Department Reports]
Select all the Livestock Depts
Click [Process/Print
Select all Non-livestock depts
Click [Process/Print]

3) - Premiums Earned Reports (one for Livestock and one for Non-Livestock)

Click on [Goto] [Results] [Premiums Earned Report]
Select all the Livestock Depts
Click on [Detailed] and [Include Placings] and [Printer]
Click [Process/Print]
Select all Non-livestock depts
Click on [Detailed] and [Include Placings] and [Printer]
Click [Process/Print]

NOTE:

Beef, Dairy, Goat, Poultry, Rabbits, Sheep, Swine, Lama and Horse are considered livestock
(Dogs, Pets and Cats are not).

NOTE:

In order to have the Livestock and Non-livestock options for the Premiums Earned Report (#3) - you must upgrade to FairPlus! version 09-146

Reporting County Fairs in My Programs

Reporting County Fair numbers should only take a few minutes to complete - here's the steps:

Click on [Goto] [Exhibitors / Items] [Item Utilities] [Fair - Item/Exhib Counts]

All Departments should already be selected (highlighted)

Click on the radio button for [Items that Placed], then click on [Process/Print]

The resulting report will only have two numbers - total items and number of exhibitors - the one number you need is the number of exhibitors

Then, log into My Programs

Schedule a one day event - probably choose the opening day, or entry day of your county fair - BE SURE to use the County Fair Format!

My Programs - Fair Format

Go into the Data Entry screen and enter the number of exhibitors plus an estimate of the volunteers involved at your fair in the [All Participants] field.
For the purposes of county fair reporting only...... simply enter everything under the zip code of your fairgrounds, then make an estimate of the gender breakdown at your fair (probably based on the gender breakdown of your membership).
Enter the "All Volunteers" number and submit
