The following processes should only be done by the Regional Center


NOTE:

IT IS VERY IMPORTANT that you use Internet Explorer (IE) - not Firefox - as your browser when completing these operations.

4HPlus! simply uses whatever browser is defined as "Default" on your computer - therefore, if Firefox is your default browser you will need to temporarily make IE your default browser.

To do this, start up IE, click on Tools>Internet Options, then click on the "Programs" tab and click on the "Make Default" button. You can also set both IE and Firefox to check what your default browser is and give you an easy option to change that on browser startup.

 


Background and Frequency of Data Maintenance

4h4me.com relies on 4HPlus! as it's initial data source - at some point in time, a full county data upload was completed. From that point forward, day to day data changes are made in both 4HPlus! and directly on 4h4me.com. Both 4HPlus! and 4h4me.com accumulate those changes until the Regional Staff initiates the process - detailed on this page - of synchronizing the data.

Synchronizing the data is a two part process that can be done in any order:

  1. Changes from 4HPlus! get sent to 4h4me.com
  2. Changes from 4h4me.com get sent to 4HPlus!

This synchronization should be completed on a regular basis - at the longest, once per week - at other times it might be once per day. A good rule of thumb will be to update 4h4me.com at least as often as County Offices are updated.


Get Data Changes from 4h4me.com

This step will find any changes made on the web and synchronize those changes to 4HPlus!

You will then see a list of data changes that were made, including an option to print a list of those changes.

Find / Send 4HPlus Data Changes to 4h4me.com

This step will find changes made in 4HPlus! and synchronize those changes to 4h4me.com

The upload file containing all data changes since the last data upload is now built and ready to go

NOTE:

It appears that IE version 8 does not allow the clipboard to paste in the [Browse] field. In the meantime, use the "Browse" feature to navigate to the c:\ckv\webxfer folder and select the specified file.

NOTE:

VERY IMPORTANT - count to "15" or wait 15 seconds before proceeding to click the [Process] button.

Once the file is uploaded, the next button down will change to [Process]

  • Click on [Process] and wait for processing to complete, as indicated by the words "File processing completed!" appearing just above the [Process] button

The bottom of that screen will list changes that were successfully transferred to 4h4me.com - along with the corresponding ID, etc. to give an indication of the data change that was made. You can print a list of those changes for future reference.

NOTE:

There will be a time delay as processing occurs. Please wait patiently until processing is completed. However, if the delay lasts longer than about 5 minutes, close the browswer window and repeat the process.
